Office Manager

The Full Story

Purpose: The Office manager will provide office management and administrative support to the general organizational operations. Working under the direct supervision of the CEO this position provides all necessary organizational support and is responsible for a variety of administrative tasks.

 

Primary Responsibilities:

  • Engaging in office customer service: answering call, taking messages, distributing messages, maintaining and managing an agency call log. 

  • Manage agency calendar |agency contact list | agency email accounts | etc.

  • Taking Notes during all meeting and send email of minutes notes. 

  • Manage meeting minutes | decision outcome of agency work.

  • Ensure overall organization of office (cleanliness, visitors, beverages, snacks etc.).  

  • Management and execution of the workforce development processes (onboarding and offboarding).

  • Ensure personnel files are orderly, neat, and properly stored in accordance with agency regulations.  

  • Complete personnel chart audits Monthly.

  • Conduct agency quality assurance surveys with personnel quarterly. 

  • Conduct agency OIG Checks monthly.   

  • Is the lead coordinator and organizer on all company events (reserving spaces, ordering food, organizing clean-up, communication to staff about details etc.). 

  • Manage all needs and requests made by administrative team. 

  • Send out company correspondences via email or in writing. 

  • Other duties as assigned.
